Privacy policy

I. General provisions

  1. The Administrator of personal data is Profile VOX Sp. z o.o. sp. k. with its registered office in Czerwonak (62-004), ul. Gdyńska 143, registered in the Register of Entrepreneurs kept by the District Court Poznań - Nowe Miasto and Wilda in Poznań, 8th Commercial Division of the National Court Register under KRS number: 0000210637, NIP: 7772776017, REGON: 634591881.

  2. The Administrator has appointed a Data Protection Officer, who can be contacted in all matters relating to data protection by sending a message to iod@vox.pl or in writing to the postal address of the Administrator indicated in the paragraph above.

  3. Personal data shall be processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation).

  4. The data collected by Profile VOX shall be:
    • processed lawfully,
    • collected for specified, legitimate purposes and not subjected to further processing incompatible with those purposes,
    • substantively correct and adequate in relation to the purposes for which they are processed,
    • kept for no longer than is necessary for the purposes of the processing.


II. Scope of data collection

Personal data are necessary for the provision of top-quality services and their development, which is why Profile VOX makes every effort to secure them properly, including processing them only on appropriate legal grounds. The scope of data collected is necessary for the purpose and includes: name, e-mail address, telephone number, company name and possibly other data which the person voluntarily provides in the message addressed to the Administrator.

In addition, in order to adapt and develop the website's functionality, including its structure and content to the individual needs of the Users and to maintain the safety and quality of the services provided by the website, technology is used which collects and processes data stored in cookies, including the IP address (details are described in the Cookie Policy).

III.  Purposes and legal basis for data processing

Personal data is processed for the following purposes:

  1. Registering an account on the profile.vox.pl website and verifying the User's identity connected with secure logging in - on the basis of the User's acceptance of the terms and conditions of the website (Article 6(1)(b) RODO);

  2. Communication with the User and providing answers to messages sent via the form available on the profile.vox.pl website - on the basis of the legally justified interest of the administrator consisting in building and developing relations with customers (Article 6(1)(f) RODO);

  3. Fulfilling VOX's legal obligations relating to accounting and taxation and for archiving purposes (Article 6(1)(c) RODO);

  4. Sending promotional/marketing content via a communication channel to which the User has voluntarily consented, i.e. via electronic message to a designated e-mail address and/or telephone notifications (SMS/MMS), for the purpose of presenting commercial offers and sending personalised information about the VOX Capital Group's products and services - based on the administrator's legitimate interest (Article 6(1)(f) RODO);

  5. Asserting or securing claims, which is the administrator's legitimate interest (Article 6(1)(f) RODO).

IV.  Period of processing of personal data

Personal data will be processed for the period necessary to fulfil the purpose for which they were collected, and thereafter for the period necessary to comply with the law or to assert or defend against possible claims.

V.  Information on processing

1. Personal data, depending on the purpose of the processing, may be disclosed to:

  • to trusted entities belonging to the VOX Capital Group,
  • to representatives of furniture stores cooperating with Profile VOX and operating under this brand,
  • subcontractors, in particular entities providing and operating selected IT systems and solutions (including hosting, development and maintenance of IT systems and websites) and assisting in the execution of warranties, complaints, and product repairs,
  • providers of accounting and tax services,
  • providers of courier and postal services,
  • entities providing debt collection and law firms.

2. Personal data processed by Profile VOX may be transferred outside the European Economic Area (EEA), i.e. to India for the support of the SAP system for enterprise resource planning with regard to sales data - on the basis of standard data protection clauses adopted by the European Commission in accordance with the examination procedure.

3. Regardless of the purpose of the processing, the provision of data is voluntary, however, failure to do so may prevent the use of selected services within the service and its functionalities or the receipt of marketing content.

4. There is no automated decision-making, including profiling, in the processing of personal data.

VI.  Rights of data subjects

1. Each User whose personal data is processed by VOX Profiles has the right:

    • access to the content of their personal data,
    • rectification of the data,
    • erasure of data,
    • restriction of data processing,
    • data portability,
    • to object to processing carried out on the basis of a legitimate interest of the controller,
    • the right to withdraw consent at any time without affecting the legality of the processing carried out on the basis of that consent before its withdrawal.

2. The user of the www.profile.vox.pl website also has the right to lodge a complaint with the President of the Office for Personal Data Protection if they consider that the processing violates the provisions of the General Data Protection Regulation.

VII. Final provisions

  1. The Privacy Policy is subject to change due to:
  • obligation to make changes,
  • change of legal regulations,
  • change of the website's functionality, scope of collected data, purpose, or changes in other factors which will influence the processing of the User's personal data.
