Privacy policy

I. General provisions

  1. The Administrator of personal data is Profile VOX Sp. z o.o. sp. k. with registered office in Czerwonak (62-004), ul. Gdyńska 143, registered in the Register of Entrepreneurs kept by the District Court Poznań - Nowe Miasto and Wilda in Poznań, VIII Economic Division of the National Court Register under KRS number: 0000210637, NIP: 7772776017, REGON: 634591881.
  2. The Controller has appointed a Data Protection Officer who can be contacted on all data protection issues by sending a message toiod@vox.pl or by writing to the postal address of the Controller indicated in the paragraph above.
  3. Personal data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation).
  4. The data collected by Profile VOX is:
  • processed in accordance with the law,
  • collected for specified, legitimate purposes and not subjected to further processing incompatible with those purposes,
  • substantively correct and adequate in relation to the purposes for which they are processed,
  • stored for no longer than is necessary to achieve the purpose of the processing.

II. Scope of data collection

Personal data is necessary for the provision of top-quality services and their development, which is why Profile VOX makes every effort to secure it properly, including processing it only on the basis of appropriate legal grounds. The scope of data collected is necessary for the purpose of participation in the Programme/Service and includes: name and surname, e-mail address, telephone number, company name and possibly other data which the person voluntarily provides in the message addressed to the Administrator.

In addition, in order to adapt and develop the functionality of the side, including its structure and content to the individual needs of the Users and to maintain the safety and quality of the services provided by the site, technology is used which collects and processes data stored only in the necessary cookies.

III. Purposes and legal basis of data processing

Personal data is processed for the following purposes:

    1. registration of an account on the profile.vox.pl website or in the Programme on the basis of the User's acceptance of the terms and conditions of the website (Article 6(1)(b) RODO);
    2. communication with Business Partners and the User of the website, responding to messages sent via the form available on the profile.vox.pl website and contact within the implementation of the Programme - based on the legally justified interest of the administrator (Article 6(1)(f) RODO);
    3. to fulfil VOX's legal obligations relating to accounting and taxation and for archiving purposes (Article 6(1)(c) of the DPA);
    4. sending promotional/marketing content via the communication channel to which the Business Partner or Service User has voluntarily consented, i.e. via electronic message to the indicated e-mail address and/or telephone notifications (SMS/MMS), for the purpose of presenting commercial offers and sending personalised information about the products and services of the VOX Capital Group - based on the administrator's legally justified interest (Article 6(1)(f) RODO);
    5. asserting or securing claims, which constitutes a legitimate interest of the controller (Article 6(1)(f) RODO).

IV. Period of processing of personal data

Personal data will be processed for the period necessary to fulfil the purpose for which they were collected, and thereafter for the time necessary to comply with the law or to assert or defend against possible claims.

V. Information on processing

1. Depending on the purpose of the processing, personal data may be disclosed:

  • trusted entities within the VOX capital group,
  • representatives of furniture stores that cooperate with Profile VOX and operate under this brand,
  • to subcontractors, in particular to providers and operators of selected IT systems and solutions (including hosting, development and maintenance of IT systems and websites) and support in the fulfilment of guarantees, complaints and product repairs,
  • to providers of accounting and tax services,
  • to courier and postal services providers,
  • debt collectors and law firms.

2. The personal data processed by Profile VOX may be transferred outside the European Economic Area (EEA), i.e. to India in support of the SAP system for enterprise resource planning with regard to sales data - on the basis of standard data protection clauses adopted by the European Commission in accordance with the screening procedure.

3. Regardless of the purpose of the processing, the provision of data is voluntary, but failure to do so may prevent you from participating in the Programme or receiving marketing content.

4. There is no automated decision-making, including profiling, in the processing of personal data.

VI. Rights of data subjects

1. Any Service User or Business Partner whose personal data is processed by VOX Profiles has the right:

  • access to the content of their personal data,
  • rectification of data,
  • deletion of data,
  • restriction of data processing,
  • data portability,
  • to object to processing taking place on the basis of a legitimate interest of the controller,
  • the right to withdraw consent at any time without affecting the lawfulness of the processing carried out on the basis of that consent prior to its withdrawal.

2. The user of www.profile.vox.pl or the Business Partner also has the right to lodge a complaint with the President of the Data Protection Authority if they consider that the processing violates the provisions of the General Data Protection Regulation.

VII. Final provisions

  1. The privacy policy is subject to change due to:
  • obligation to amend,
  • change in legislation,
  • a change in the operation of the Programme, the scope of data collected, the purpose or changes in other factors that will affect the processing of personal data of Business Partners.
